This notice explains what personal data the Rooms in Cambs website collects from visitors and how we use it. It only covers data the website itself handles. If you go on to apply for a room or take up a tenancy, a separate, fuller privacy notice forms part of your tenancy contract pack.

The website collects only the data you give us when you use it. We do not buy or rent contact lists. We do not run behavioural advertising.

When you submit a room enquiry or book a viewing through the site we collect your name, contact details, the room you are interested in, and your answers to the screening questions. We use this to reply to you and to decide whether to invite you to apply.
If you email us or send a message through the site we keep the message and your reply so we have a record of the conversation.
We rely on legitimate interest (UK GDPR Art. 6(1)(f)) for handling enquiries and viewing bookings — we need to respond to people asking about our rooms. Strictly-necessary cookies rely on the PECR exemption; non-essential cookies are set only with your consent.
If you go on to apply for a room, the retention rules in your tenancy contract pack take over — they cover everything from the application onwards.
We don’t sell your data. The site is hosted on UK / EEA cloud infrastructure with appropriate data-processing agreements in place. Where we use a sub-processor outside the UK / EEA we rely on the UK International Data Transfer Agreement or the EU Standard Contractual Clauses with the UK Addendum.
Under the UK GDPR you can ask us what data we hold about you, ask us to correct it, ask us to delete data we no longer need, ask us to restrict how we use it, object to processing we do under legitimate interest, ask for a copy in a portable format, and complain to the regulator.
